Event User Guidelines

The Harrod Event Center is to be left in the condition in which it was received. Users or Entities are responsible for their own set up and clean up. The room must be cleaned at the completion of the rental time, in a manner that would allow another client to enter and use the facility immediately. There will be a $200.00 cleaning fee invoiced to the user(s) in the event the facility is not left in its original condition. Please contact the management in the event of any spills or damage. 

In rooms where a kitchen is available with a refrigerator and microwave. Utensils, kitchenware, and dish towels are not provided by the Village of Harrod. 

Users will limit their activities to the locations rented, if the spaces rented are inside of the Harrod Event Center that space will include restrooms, the hallways will be limited to ingress and egress only, no activities will be permitted in the hallway.

Outside users will not have access to the restrooms unless they have also rented space inside the Harrod Event Center during the time of the event. 

The Users or Entity will be responsible for supervision of the activities of guests while they are located inside of the Harrod Event Center.

Alcoholic beverages (unless stated in the User’s contract), other intoxicants, and weapons are not permitted on the premises. 

Fire extinguisher and First Aid Kit are located in each of the event rooms. 

The User or Entity for which the Harrod Event Center area is reserved will be responsible for any damages or cleaning of the rented space. 

Chairs and tables are to be returned to their original locations.  All audio/video and computer equipment are to be configured to their original settings.   

When trash is accumulated a dumpster container is available to dispose of trash located on the front left side of the Harrod Event Center Building. Only bagged items are to be placed in the container. 

The Village of Harrod, Ohio its Officers or Employee’s are not responsible legally, financially or otherwise, for any personal property brought into the Harrod Event Center or upon its outside facilities, vehicles using parking facilities or for any injuries to the person(s) who has reserved the rented space, their guests or any agents hired by the user. The entity for which the rented space is reserved will be responsible for any damages of the facilities and/or guests personal property. 

Cancellation and Refund Policies

One Day Reservation, Reschedule, and Cancellation Policy

• Cancellations of any events must be made at least 60 days prior to the scheduled event to receive full refund of rental fee.

  •  There will be a 7 day rescheduling period from the date of the booking (based on Harrod Event Center availability). If the Renter would like to reschedule a contracted event, for any reason after the 7 days, the new date is treated as an entirely new event. The original first payment does not transfer to hold any new date and does not get refunded.

  •  A Credit card is required to be placed on file to hold your place on our schedule. This card will also be run for your security deposit amount if the contract is not followed through.

  •  The Event Reservation Fee down payment is non-transferrable to another date. If the Renter would like to reschedule a contracted event, for any reason, the new date is treated as an entirely new event. The original first payment does not transfer to hold any new date and does not get refunded.

  •  The rental fees are due in full, 15 days prior to the event date. Any invoices not paid will be immediately removed from our calendars.

  • Events that are booked within the 15 day mark will be required to pay the full rental amount when booked and will only be given a 24 hour rescheduling period.

  • If renter chooses to cancel an event within 15 days of contracted event date, renter remains financially obligated to and responsible for the Reservation Fee and the deposit amount (50-100 Depending on style of event) will be charged to the credit card on file.

  •  If renter chooses to cancel an event before 15 days of the contracted event date, renter does not owe the invoiced Reservation Fee but will be charged for the deposit rate (50-100 Depending on style of event).

  • The Village Of Harrod reserves the right to: postpone any event due to safety concerns, cancel any event for any reason, terminate a gathering during an event for any reason.

  • Should weather become dangerous, the renter will be given the opportunity to reschedule the event [based on venue availability], but will not be given any credit for the outdoor portion booked for their event. This option is solely determined by the Harrod Event Center and does not get exercised by the renter without approval.

  • Checks (payable to the Village Of Harrod) will be accepted up to 30 days prior to the event.

  • Money orders, cash and Credit Cards (With fee applied) are also accepted.

  •  Failure to pay fees as outlined will result in collection procedures.

  •  The person signing the contract is responsible for the orderly conduct of event attendees

Multiple Day Reservation Reschedule and Cancellation Policy

If the Renter would like to reschedule a contracted event, for any reason after the 7 days, the new date is treated as an entirely new event. The original first payment does not transfer to hold any new date and does not get refunded.

  • If renter chooses to cancel an event before 30 days of the contracted event date, renter does not owe the invoiced Reservation Fee but will be charged for the deposit rate (100-250 Depending on style of event)
